Job Purpose
Provide engineering-informed administrative coordination, technical tracking and reporting across the Middle East and Africa (MEA) facilities portfolio. Working closely with the Technical Leads based in Pakistan and Johannesburg, local Facilities Managers, suppliers and regional operations teams, the role ensures technical activities are accurately recorded, followed up, escalated and closed on time. This is a hands-on coordination and technical support role, not the regional engineering authority or final approver for high-risk works.
What You Will Be Doing
- Maintain a consolidated MEA technical action tracker covering maintenance, compliance, incidents, audits, projects, risks and overdue actions; chase owners and evidence of closure.
- Prepare weekly and monthly technical status reports, dashboards, meeting packs, minutes, action logs and escalation summaries for regional management and client reviews.
- Coordinate technical meetings, follow-up calls and deadlines with the Pakistan and Johannesburg Technical Leads, country FMs and service providers.
- Maintain accurate central folders and version-controlled records for SOPs, MOPs, EOPs, certificates, reports, drawings and other engineering documentation.
- Track regional technical KPIs, exceptions and recurring issues; flag gaps, trends and missed deadlines to the relevant Technical Lead.
- Monitor preventive planned maintenance (PPM) schedules, completion rates, overdue work orders, statutory inspections and vendor service reports across MEA sites.
- Follow up missing maintenance evidence, incomplete work orders, defects and remedial actions with site teams and suppliers.
- Support asset register and RAM/CMMS data quality: asset lists, criticality, locations, maintenance frequencies, warranties and lifecycle information.
- Reconcile asset records against site surveys, vendor reports, project handovers and available documentation; coordinate corrections with site owners.
- Compile equipment lifecycle, recurring-failure and maintenance backlog trackers for review by the Technical Leads.
- Maintain trackers for statutory compliance, certificates, inspections, audit findings, engineering risk assessments and corrective actions.
- Coordinate the collection and completeness checks of permits, method statements, risk assessments and change-control submissions; refer technical judgments and approvals to authorized engineers.
- Follow up planned works, change requests, risk mitigations and required supporting documents, escalating missing approvals before work proceeds.
- Support internal/client audits by collecting evidence, recording findings and monitoring agreed closure dates.
- Maintain incident and outage registers, including timelines, reports, root cause analysis (RCA), corrective action plans (CAP) and lessons learned.
- Coordinate information gathering and updates between site teams, vendors, the Pakistan/Johannesburg Technical Leads and regional operations.
- Track incident actions through verified closure and escalate overdue or repeated technical failures.
- Support technical leads during incidents through documentation and coordination; do not independently direct critical-system recovery or act as final technical authority.
- Track supplier attendance, maintenance deliverables, service reports, quotations, outstanding purchase orders and technical action items; liaise with procurement and finance as needed.
- Maintain logs for technical projects, lifecycle replacements, commissioning, handover documents, warranties, snagging and outstanding defects.
- Collect and organize technical information for budget/CIP submissions, minor works, asset replacements and vendor performance reviews.
- Support supplier meetings and follow up agreed actions, technical submissions and delivery dates.
- Work daily with the Pakistan and Johannesburg Technical Leads to obtain technical input, prioritize follow-ups and identify issues requiring engineering review.
- Apply practical engineering knowledge to review documentation for completeness, spot obvious inconsistencies and ask informed questions; escalate technical decisions to the accountable Technical Lead.
- Support FMs with engineering records, reporting requirements, maintenance coordination and technical process guidance.
- Coordinate across countries while respecting local regulations, supplier responsibilities and CBRE entity/authorization limitations; the role does not imply permission to perform physical engineering works in every country.
- Bachelor’s degree in electrical, Mechanical, Building Services Engineering or a closely related engineering discipline.
- Approximately 3–5 years of relevant facilities engineering, technical coordination, maintenance planning or technical administration experience; equivalent practical experience may be considered.
- Working knowledge of UPS, generators, electrical distribution, HVAC/cooling, BMS, fire systems and maintenance processes; ability to recognize when specialist review is needed.
- Strong Excel, PowerPoint, reporting, document control and tracker management skills; experience with CMMS/CAFM or asset-management systems desirable.
- Excellent organization, follow-through, attention to detail and professional English communication skills; ability to coordinate multiple countries and stakeholders.
- Comfortable working independently on administration while collaborating closely with senior technical colleagues for engineering decisions.
- Experience supporting banking, corporate real estate or other business-critical facilities.
- Familiarity with PPM, RAM/asset registers, statutory compliance, audit action tracking, RCA/CAP and change control.
- Exposure to multi-country Middle East and/or Africa portfolios; French or Arabic language skills are an advantage.
