Job Title: Parts Advisor

Job Purpose

The Parts Advisor serves as the frontline point of contact for retail and service customers purchasing parts and accessories. The role is responsible for accurately and efficiently processing counter and service sales transactions identifying the correct parts based on customer and vehicle requirements and supporting service center parts fulfilment. The position contributes to a positive customer experience operational efficiency and the achievement of retail sales targets.

Key Functional Responsibilities

A. Parts Sales and Customer Service

• Greet and assist walk-in retail customers at the parts counter identifying the correct parts and accessories based on customer needs and vehicle specifications.

• Respond to customer inquiries regarding parts availability pricing compatibility and product specifications.

• Promote accessories and value-added parts and service offers to increase basket size and achieve retail sales targets.

• Handle first-line customer complaints related to parts sales and escalate complex issues to the Assistant Manager Parts Operations.

B. Sales Transactions and Order Processing

• Process retail and service parts sales orders accurately in SAP ensuring correct pricing discounts and invoicing in accordance with commercial policies.

• Maintain accurate records of retail and service sales transactions.

• Process returns exchanges and warranty claims in accordance with established standard operating procedures (SOPs).

• Maintain accurate daily cash and counter stock reconciliation records.

C. Service Center Parts Fulfilment

• Coordinate with Service Advisors and Technicians to fulfil parts requirements for scheduled and walk-in service jobs.

• Pick verify and issue parts against repair orders and work orders in a timely and accurate manner to minimize vehicle turnaround time.

• Follow up on back-ordered or unavailable parts and communicate expected availability to service teams and customers.

• Support timely parts availability to facilitate efficient workshop operations and service delivery.

D. Reporting and Inventory Support

• Generate routine daily and weekly sales activity reports for the Assistant Manager Parts Operations.

• Support month-end stock and sales reconciliation activities.

• Ensure the accuracy and completeness of parts-related sales and transaction records.

• Report discrepancies or operational issues to the appropriate supervisor for timely resolution.

E. Compliance and Workplace Standards

• Comply Aftersales SOPs policies and commercial requirements for all parts-related transactions.

• Maintain a clean organized and safe parts retail and counter area.

• Ensure accurate documentation and adherence to established procedures for sales returns exchanges and warranty claims.

• Perform other duties and responsibilities aligned with business requirements and organizational needs.

Job Requirements

Education

• High school certificate or diploma in a relevant field.

Experience

• Minimum of two years of relevant experience in automotive parts sales parts operations spare parts retail or a related field.

Preferred Knowledge and Skills

• Basic to intermediate knowledge of automotive parts and accessories.

• Familiarity with parts catalogues part numbers and vehicle compatibility.

• Working knowledge of SAP or a similar ERP system.

• Customer service sales and complaint-handling skills.

• Basic reporting cash handling and reconciliation skills.

• Good communication coordination and attention to detail.
  
  Language: Must be fluent in speaking Arabic and English.
