Job description
The Executive Operations Director supports the CEO in managing executive priorities, coordinating shared services across IT, Finance, Legal, and other functions, overseeing relationships with outsourced service providers, and monitoring contract performance and execution. The role ensures effective cross-functional coordination, supports management and Board-related activities, and helps drive operational efficiency across the organization. Responsibilities: Prepare concise briefings setting out facts, assumptions, options, risks, recommendations and the decision required from the CEO. Maintain a confidential decision log; confirm decisions with the authorized decision-maker before communicating them as instructions. Draft CEO correspondence, talking points and internal announcements for CEO approval. Run the management rhythm: agendas, briefing materials, meeting records, action owners, deadlines and exception follow-up. Coordinate with the fractional finance, information-security and compliance leadership functions and invited specialists, each of whom retains their own reporting line and professional responsibility. Follow up on management decisions until closure and report overdue actions to the CEO. Track contracted deliverables, recurring obligations, required inputs, service issues and dependencies with Finance, HR, Compliance, Legal, IT/security and other providers. Raise unresolved or material exceptions promptly, while leaving technical judgment, contractual commitments and professional decisions with their authorized owners. Maintain a provider calendar of key deliverables and contract milestones for CEO visibility (no authority to vary contracts, fees or SLAs). Coordinate Board-cycle logistics, the governance calendar, management papers, version control and action follow-up, as directed by the CEO. Support the formally appointed Board Secretary. The role does not confer Board Secretary powers or any Board-delegated authority. Coordinate CEO-sponsored projects, partnerships and product initiatives; maintain milestones and identify execution bottlenecks. Improve management information, remove unnecessary reporting, and support approved automation/AI workflows with verification and information-security controls. Requirements Bachelor's degree in Business Administration, Finance, Economics, Law, or a related field. MBA or a relevant master's degree is preferred. 7+ years of total professional experience, preferably including 2+ years in CEO Office, Strategy, PMO, Management Consulting, or Executive Coordination. Experience in the fintech or financial services industry is preferred, but not mandatory. Experience in executive coordination, contract management, managing outsourced service providers, and coordinating across multiple departments. Ability to manage relationships with internal departments, external service providers, and business partners. Strong understanding of operational processes, management reporting, and executive support. Excellent written and spoken English. Practical experience using AI tools to support work and improve operational efficiency. Strong communication, problem-solving, organizational, and stakeholder management skills. High level of discretion, integrity, and confidentiality.
