Job Summary
The ERP Reconciliation & Data Entry Officer is responsible for verifying the accuracy of inventory, accounts receivable, and bank records between the ERP system and actual business data; for accurately and promptly entering daily financial documents (sales, expenses, and receipts) into the ERP system; and for preparing standard trade documents such as Proforma Invoices and Packing Lists.

:Key Responsibilities
A. Reconciliation Duties
1. Inventory Reconciliation — Reconcile ERP inventory quantities against actual physical stock on a regular basis, identify discrepancies, investigate root causes, and report findings to management.
2. Accounts Receivable Reconciliation — Reconcile sales transactions, payment records, and outstanding receivable balances in the ERP system with customers; confirm balances and resolve any discrepancies in a timely manner.
3. Bank Reconciliation — Reconcile ERP cash/bank records against bank statements, identify outstanding or unmatched items, and report them to management.

B. Data Entry Duties
1. Enter sales orders/invoices into the ERP system accurately and in a timely manner.
2. Enter expense vouchers/documents into the ERP system, ensuring correct classification and supporting documentation.
3. Enter payment/receipt vouchers into the ERP system and match them to the corresponding customer
accounts and invoices.

C. Document Preparation
1. Prepare and edit Proforma Invoices (PI) based on order details and pricing terms.
2. Prepare and edit Packing Lists (PL) based on shipment and product details.
