Purchasing & Operations Officer

• Source, evaluate, and onboard qualified vendors and manufacturers for gifting, promotional, and customized products.

• Develop and maintain strong, long-term relationships with key suppliers and manufacturers.

• Issue RFQs, compare quotations, analyze costs, and negotiate competitive prices and favorable terms.

• Negotiate pricing, quality, specifications, quantities, and delivery timelines with suppliers.

• Manage the end-to-end procurement process, from initial costing and purchase orders through production and final delivery.

• Coordinate customized orders to ensure alignment with approved designs, specifications, quantities, and deadlines.

• Review samples and finished products to ensure quality and compliance with approved requirements.

• Maintain active follow-up with suppliers and track order status to prevent production delays, quality issues, and shipment disruptions.

• Monitor costs, quality, and delivery timelines while ensuring efficient procurement.

• Coordinate and follow up on product shipping and delivery to ensure orders are delivered accurately and on time.

• Track and resolve operational issues, quality concerns, and delivery delays.

• Maintain accurate purchasing, supplier, quotation, and order records.

• Support supplier evaluation and identify opportunities for cost and process improvements.

• Ensure sourced materials and customized products meet client requirements and quality standards.

• Prepare purchasing and operational reports for management.

• Work cross-functionally with Sales, Marketing, Design, Production, and Logistics teams whenever required to support project execution and ensure smooth coordination.

• Collaborate cross-functionally with other departments whenever required, based on the needs and requirements of each project.

Requirements

• Bachelor’s degree in supply chain management, Business Administration, Operations, or a related field.

• Minimum of 3 years of hands-on experience in procurement, purchasing, or operational management.

• Prior background working with customized merchandise, corporate giveaways, promotional items, or factory manufacturing environments.

• Established network of suppliers coupled with strong sourcing and price-negotiation acumen.

• High level of attention to detail combined with practical problem-solving capabilities.

• Proven ability to balance cost management, quality assurance, and strict delivery timelines.

• Capable of inspecting physical goods to verify compliance against technical specifications.

• Solid grasp of shipping logistics, freight forwarding, and international/domestic dispatch coordination.

• Strong organizational skills with a systematic approach to multi-tasking and follow-ups.
