Role Summary
We are looking for a highly organised Creative Coordinator with experience in sports events to support the creative team across multiple projects and event deliverables. The role will be responsible for coordinating creative workflows, managing schedules and trackers, following up on approvals, and ensuring all creative assets are delivered accurately and on time.
The ideal candidate will have experience working within sports events, live events, experiential activations, or event production environments, with a strong understanding of the fast-paced nature of event timelines and stakeholder management.

The role will be responsible for coordinating creative workflows, managing schedules and trackers, following up on approvals, and ensuring all creative assets are delivered accurately and on time.
The ideal candidate will have experience working within sports events, live events, experiential activations, or event production environments, with a strong understanding of the fast-paced nature of event timelines and stakeholder management.
Key Responsibilities
- Coordinate the day-to-day workflow of the creative team across sports events and related projects.
- Maintain creative schedules, project trackers, deadlines, deliverables, and approval status.
- Coordinate creative requirements for sports events, venues, fan experiences, branding, signage, campaigns, digital assets, and event activations.
- Manage the flow of creative briefs, concepts, artwork, revisions, approvals, and final deliverables.
- Coordinate feedback between the creative team, clients, event teams, suppliers, and production partners.
- Follow up proactively with stakeholders to ensure creative approvals and deliverables are completed within agreed timelines.
- Maintain organised project folders, artwork files, creative assets, version control, and approval records.
- Schedule creative meetings, prepare action points, and maintain meeting notes and follow-up trackers.
- Track multiple creative workstreams simultaneously and highlight potential delays, dependencies, or risks.
- Coordinate with suppliers and production teams to ensure approved artwork and creative assets are supplied in the correct format and within production deadlines.
- Ensure the creative team is aligned with wider event production, venue, marketing, sponsorship, and operational timelines.
- Support the Creative Lead/Manager with project administration and coordination across multiple sports events.
- Assist with last-minute creative changes and urgent event requirements in a fast-paced live-event environment.

- Excellent follow-up and stakeholder management skills.
- Ability to manage multiple projects, priorities, and deadlines simultaneously.
- Strong attention to detail, particularly when managing artwork versions, approvals, and final deliverables.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office and project tracking tools.
- Experience with creative collaboration/project management platforms is an advantage.
- Ability to remain organised and calm while working under tight deadlines and changing event requirements.
- 2-4 years of experience in creative coordination, project coordination, or a similar role within sports events, live events, experiential, entertainment, or event production.
- Previous experience working on sports events is highly preferred.
- Experience coordinating creative deliverables across multiple stakeholders and tight event deadlines.
- Understanding of the sports-event environment, including venue branding, signage, fan engagement, event activations, and event-related creative assets.
